Setting up attendance for each employee

You can configure attendance settings for each employee. These options only apply to individual employees.

Steps:

Step 1: Choose Employees → choose "..." icon to Edit the employee you want

Step 2: Choose Time tracking.

Login on more devices: An employee can only use one phone to log in, but if you allow employees to log in to their accounts on multiple devices, you can enable this feature. This feature allows you or the employee to access the account on multiple phones and share one account.

Geofence time tracking: Track the route of the employee during their shifts. (This feature requires the employee's device to share GPS location, in case the employee does not want to share their location, you will not be able to track the employee's route. Tanca only tracks the location during the employee's working hours).

No time tracking: Employees will not need to clock in/out on the software but will still be paid their full salary every month. (Applicable: In your organization, you may have some positions that do not require checking in/out but you still want to record their salary based on their salary level, you can use this feature).

Able to clock in/out anywhere: Allows this employee's device to check in/out using any Wifi (without having to access the company's Wifi ID), or can also use 3G to clock in/out, or clock in/out at any location outside the company.

Allow clock in/out early: This employee can clock in before the allowed time and clock out earlier than the allowed time, but still must ensure the required working hours. (Applicable: For example, an employee has an 8-hour working day. The shift is from 8am to 5pm, but this employee can clock in at 7am and work until 4pm. If the working time is 8 hours, the system will still count as 1 working day).

Allow clock in/out lately This employee can clock in after the allowed time and clock out after the allowed time, but still must ensure the required working hours. (Applicable: For example, an employee has an 8-hour working day. The shift is from 8am to 5pm, but this employee can clock in at 10am and work until 7pm. If the working time is 8 hours, the system will still count as 1 working day).

Clock in/out automatically: Employees do not need to clock in on the software. The system will automatically clock in when the employee arrives for their shift. (Applicable: This feature is suitable for some positions that cannot clock in using a time clock or phone, but still need to record daily attendance. This allows you to control employee leave and ensure accurate attendance records)

Auto checkout: Employees only need to clock in on the software and the system will automatically assign a shift to them.

Require the Face image to clock in: When employees clock in, they will be required to be connected to the designated Wi-Fi or GPS location set up on the Tanca system. Once connected to the correct Wi-Fi/GPS, the software will prompt employees to provide an image of themselves when clocking in.

Require the Face image to clock out: When employees clock out, they will be required to be connected to the designated Wi-Fi or GPS location set up on the Tanca system. Once connected to the correct Wi-Fi/GPS, the software will prompt employees to provide an image of themselves when clocking out.

Able to change The time tracking: Allows users with managerial rights to edit and clock in on behalf of other employees. (Application: For example, in cases where construction companies or restaurants have a Director or Manager who clocks in for all workers or employees. The Director will have a daily list of employees on their phone (based on their shifts). When the shift starts, this list will be available, and the Director can simply mark attendance. In cases where there are many employees, the Director can choose to mark all, and then deselect those who did not come to work).

Require the Face image to help another person Clock in: Allows users with managerial rights to clock in on behalf of other employees by taking a photo.

OTP-free login: In case an employee logs in to their account but does not receive a verification code, the Manager can go to the Attendance section in the employee's profile.

Devices: The system will list all the login devices of the employee. If the employee does not have the feature enabled to login on multiple devices, and they want to switch to a different login device, the Manager can go to this section and click Delete on the old device and then press the Update button.

Timekeeper: The employee's clock-in code on the time clock machine. (Application: If your company uses a time clock machine, you need to enter the employee's code here.

Q&A:

Question 1: Why do we need to set up timekeeping for each employee?

Answer: The configuration of timekeeping for each employee is based on the needs of each customer. If you want each employee to be able to clock in using different methods, you will need to configure it accordingly.

Question 2: If a custom configuration has been set for an employee, what happens if changes are needed later?

Answer: Timekeeping configurations can be adjusted during use. So, if an employee changes their timekeeping method, you can easily reconfigure the settings for that employee.
