Employee | Submit an Explanation Request When You Forget to Clock In

Forgetting to clock in is normal. The right way to handle it is to submit an explanation request — it's quick, leaves a record, and doesn't bother anyone.

Forgetting to clock in is normal. The right way to handle it is to submit an explanation request — it's quick, leaves a record, and doesn't bother anyone.

Steps

  1. Open the Tanca app and go to Requests.
  2. Create a new request and select a time & attendance-related request type.
  3. Select the date and shift that needs explaining.
  4. Enter your actual clock-in and clock-out times.
  5. Write a short, honest reason.
  6. Submit the request. Your line manager is notified immediately.

SCREENSHOT TO BE ADDED — completed attendance explanation request form and the pending approval status

Request typeUse when
Late arrival, early departureYou asked for permission in advance or have a valid reason
Business trip/Off-siteYou go out to meet a client or travel for work during working hours
OvertimeYou work outside your shift hours and want it counted as overtime
LeaveYou take approved leave for a full day or half a day

Submit it the same day or at the latest the next day. Requests submitted at the end of the month while HR is closing the timesheet are hard to verify and likely to be rejected. The closer to when it happened, the easier it is to get approved.

How to write the reason

DoDon't
"My phone ran out of battery at the end of my shift; I told Nam, the shift manager""Forgot"
"Met a client in District 7 from 2 PM; the appointment is in the CRM""Went out"
"The attendance machine didn't recognize my fingerprint on the morning of 9/5; I told security""Machine broken"

After submitting

  • Track the status in your request list.
  • While it is still pending approval, you can still edit or withdraw it.
  • Once approved, the request automatically updates the timesheet — you don't need to tell HR again.
  • If the request is pending for a long time, remind your line manager; if your manager is away, ask HR to assign a substitute approver.

What not to do

  • Ask a colleague to clock in for you. It violates company rules and the system can detect it.
  • Ask HR to fix it manually. HR only enters data manually when the system fails, not for personal mistakes — see B6-14.
  • Let it pile up until the end of the month. A wrong timesheet leads to wrong payroll.
