Admin | Attendance rules — late arrival, early departure, and rounding working hours

Attendance rules are the bridge between raw data and the working days that go into payroll. Set them up wrong and payroll is wrong — consistently, every month.

Where

Scroll down below the eight method toggles in Time & Attendance › Settings › General; the Attendance rules section is right below.

SCREENSHOT TO BE ADDED: the Attendance rules section is at the bottom of the screen and could not be captured during this review. The specific list of fields needs to be rechecked against the official version before publishing.

Rules to agree on before setting up

Business questionWhy it matters
How many minutes late counts as a late arrival?Determines the late minutes on the timesheet and any deductions
Is there a grace period? Many businesses allow 5–10 minutes at the start of the shift
How early counts as an early departure?Same as late arrival, in the opposite direction
How are working hours rounded?Rounded up, down, or to 15/30-minute increments — directly affects pay
How many working days count when someone forgets to clock in?No working days, or counted as a standard shift pending explanation
What about clocking in outside the shift window?Counted toward the shift or ignored

Set them up according to the issued workplace rules; don't create new rules yourself at the configuration step. If the workplace rules don't specify clearly, finalize with leadership and legal first — attendance rules affect pay, so they carry legal weight.

Check after setup

  1. Choose three representative employees: one who is punctual, one who is often late, and one who works overtime.
  2. Cross-check their timesheets against HR's manual calculation.
  3. If there are discrepancies, fix the rules, not the timesheet.
  4. Only when these three records match should the configuration be considered correct.

Notes

  • Changing the rules mid-period means the first and second halves of the month are calculated by two different standards. Change them at the start of the period.
  • These rules apply to the whole company. Exceptions for individuals are set in the Time & Attendance tab of the profile — see B6-11.
  • Any change should be announced to employees in advance, because it affects their income.
