The most common questions when rolling out shift scheduling, grouped by topic.
Initial setup
- Does a business with standard office hours need shift scheduling? Yes, but only once. Create an Office Hours shift template and a shift assignment rule for Mon to Fri, and you won't need to touch it again.
- How many shift templates should I create? Exactly as many as there are genuinely different time slots. Don't create a separate shift template for each branch if the hours are the same — share the shift template and differentiate by scope of application.
- What should I enter for working days? The equivalent number of working days, not the number of hours. A full-day shift is `1`, a half-day shift is `0.5`.
- How do I set up an overnight shift? Set it up as usual: start time 22:00, end time 06:00. The system automatically recognizes it as a shift that spans two days.
Weekly operations
- The weekly schedule is empty, with no shifts? There is no shift assignment rule yet, or the rule has the wrong branch selected. See article B7-03.
- Does editing a shift assignment rule affect past weeks? No. Old timesheets stay unchanged; edits only apply to weeks whose shifts have not been generated yet.
- How can I build the schedule without employees seeing it yet? Turn on Publish Shifts in Settings › Scheduling › General. The schedule only appears after you click publish.
- Copy Shifts shows no shifts to choose from? That function only copies flexible shifts — shifts assigned manually for that specific week. Shifts generated from shift assignment rules don't need to be copied.
- Can I still make changes after the week is finalized? Turn off the Week Finalized toggle on the Finalize Weekly Shifts screen, then edit. However, if the timesheet is already locked, you must unlock the timesheet first (article B6-15).
Shift registration and shift swaps
- Employees can't see the shift registration button? Check two places: the Shift Registration toggle in Settings › Scheduling › General, and the Employees can register for shifts option in the Shift Configuration dialog.
- An employee registered for two overlapping shifts? Set Maximum shifts per week to prevent it, and review with the By overlapping shifts filter before publishing.
- Can shifts be swapped verbally? No. The system still records the original person as the one on shift and will mark them absent if they don't clock in. A request must be submitted.
- Does the schedule change automatically once a shift swap request is approved? Yes. The shift moves to the replacement person as soon as the request is approved.
Automatic and AI shift scheduling
- Does automatic shift scheduling handle holidays and leave? No. It copies the previous week's schedule as is. People on leave, people who have resigned, and holidays all have to be edited manually.
- Which automatic scheduling method should I choose? Rules + AI is the recommended method, because you write constraints in Vietnamese and can check whether the AI understood them correctly.
- The Forecast screen shows an error when I click Generate Suggestions? That branch has no staffing plan declared yet. Declare it in the Staffing module first.
- Should I trust the schedule the AI builds? Run it in parallel with your old scheduling method for a few weeks, compare the results, and only then switch over completely. Always check for overlapping shifts before publishing.
Related to timesheets and payroll
- If shifts are scheduled incorrectly, will the timesheet be wrong too? Yes. All calculations for late arrival, early departure, and full working days are compared against the scheduled shift. Fix the schedule before finalizing the timesheet.
- How is an employee counted if they work without a shift? The system has no reference point to compare against, so the working hours may not be counted. Schedule the shift first, or enter working days manually following article B6-14.
- Do night shifts and holidays have their own multipliers? Yes, set them up in Settings › Overtime & Leave › Overtime (article B6-09).
Can't find the answer? Submit a support request including the branch name, the week you are viewing, and a screenshot — these three pieces of information greatly shorten the resolution time.
